Wilmot Softball Showcase Tournament  - 2025

 

Wilmot Softball is excited to once again invite teams from across the country to participate in our 1^st annual 5 game guarantee Softball Showcase Tournament. 

Tournament Dates

May 23-25 - U13 and U17 Boys

May 30-June 1 - U15 and U20 Boys 

 

We are looking to showcase roughly 16-20 teams at this event in the U13 and U15 age groups and 8-12 in the U17 and U20 age groups. But we will adjust accordingly based on demand. 

Cost: $875/team

*Some night games may be scheduled on May 23^rd and May 30th. We will attempt to make these games for teams which are relatively local to the area.

The majority of games will start at 9am Friday May 31st and run through Sunday June 2nd in the early afternoon weather permitting. Teams travelling a distance may request games to start after noon but must understand it is highly likely you will play back-to-back games.

This tournament is open to ages U13 through U20. It is a 5-game guarantee tournament with Medals awarded to 1st, second, 3rd and 4th place. Round robin format. Elimination format will be determined depending on the number of teams.

We are hoping to fill U 17 and U20 with 8 teams and the U13 and U15 age groups with 16-20 teams. The schedule and format will vary depending on the number of teams. If a division has lesser teams, it is possible, we could seed teams and then go to a double elimination final. Final schedules will be published once the divisions are filled or no later than May 7th,2024. 

The Tournament organizers are working to secure special hotel rates for participating teams and their families. This information will be available by Mid-February and will be sent out to participating teams via email once available.

Tournament Rules

A pre-registration email went out a few weeks ago to all of last year’s participants. Response has been overwhelming and those teams that have pre-registered will be contacted in advance or general registration opening.

At this point in time we have several teams pre-registered. See Chart

 

Once registration opens to the general public, if you try and register and do not get a prompt to join the waitlist, please contact me @ mcarey@wilmotthunder.com. If we can get get enough umpires to allow us to add teams and games, then we will revamp the schedule to accommodate more teams.  Still with a 5GG. I will list all teams on the waitlist below. 

Tournament Registration - Opens February 17th.

Teams who have pre-registered will be contacted in advance and will have until Feb 16^th to register their team to hold their spot, then registration will open to the remaining teams.

To register for the tournament, you will be required to create a RAMP account. Payment will only be accepted via credit card. (Visa or Mastercard) Please note that registration will be through the Wilmot Softball site.

You will be asked to input the following information which we will need prior to the tournament. If you do not have the info immediately, you can go back into your account and add it later.

• 4% Municipal Accommodation Tax (MAT) & HST - 13 % applicable (The hotel assumes no responsibility for a change in tax rate).

• Hotel check-in time is 3:00 p.m. Check-out time is 11:00 a.m.

• Guest room allotments are subject to availability at the time of booking. While the hotel will make every effort to accommodate your reservation requirements; we will assign room types according to availability on that day.

Reservation Procedure

There are two different methods for making your group room reservations. If you are producing a rooming list, we require you to send the list with names, addresses, billing method, arrival and departure dates clearly specified 30 days prior to arrival. If your delegates are responsible for making their own individual reservations, please have them call our Reservations Department at 519-744-4141 or our Global Reservations Centre at 1-877-408-6665. Guests must identify themselves as being with your group (Group Code: for ease of booking).

Cancellation Policy

 

Reservations must be canceled 3 days prior to the check-in date, if not charges are applicable.

 

Terms & Conditions

By making a guest room reservation at the hotel, the guest agrees to the hotel’s terms and conditions. All room bookings are subject to availability at the time of reservation. The hotel reserves the right to decline any booking request at its sole discretion. A booking will be considered confirmed only after the guest receives a confirmation email or reference number from the hotel or central reservations. The guest must provide valid identification (e.g., passport, driver's license) and a valid credit card of the guest staying at the hotel at check-in. The hotel's cancellation policy as per the contract will apply to all bookings.

 

The maximum occupancy per guest room depends on the category of room allotted to the guest (check with reception). Any additional guests or rollaway beds will be subject to availability and will incur extra charges. The hotel reserves the right to charge the guest for any damage caused to the hotel property, guest room, or its contents during their stay, including furniture, fixtures, and equipment. Smoking is strictly prohibited in all guest rooms and indoor areas of the hotel, with a designated smoking area provided for smokers. Pets are not allowed in guest rooms, except for registered service animals, for which proper documentation is required. WLU - Student Residence Accommodations

The reservation system is not yet active for the 2025 season, but anyone interested can contact Conference Services at conferences@wlu.ca or by calling 548-889-3250.

Dormitory Style - an air-conditioned residence with private bedrooms and semi-private washrooms. Each bedroom contains a single bed, sink, desk and closet unit and the adjoining washroom has a toilet and shower. Shared lounges with a fridge and stove are available on each floor. The rate is $57.00/person/night.

Apartment Style -Furnished apartments offer 4 or 5 private bedrooms, 2 washrooms, a kitchen (with fridge and stove only) and a living room.

4-bedroom - $169.00 per night ($42.25/person/night)

5-bedroom - $205.00 per night ($41.00/person/night)

Additional information:

• 13% HST is added to stays less than 30 nights. 

• All beds are single and rooms are supplied with a pillow, blanket, two sheets, two towels, soap, and a cup.

• Card-operated laundry facilities are available.

• Daily housekeeping is not provided.

• For apartments, microwaves and kitchen sets can be rented from the Hotel Laurier office.
